Greetings from the TRIRIGA Application Group


 

 

Those of you who attended the 2005 TRIRIGA International User Conference received a preview of the exciting new features in the upcoming TRIRIGA application release. Now that the release is just around the corner, we want to take this opportunity to provide some additional details about the ways TRIRIGA has expanded and enhanced our product line to meet the growing workplace management needs of your organizations.

Our new release expands the scope of our workplace management suite by adding new applications for resource reservations and facility condition assessment. We believe these new applications are a natural extension of the functionality we have long provided for lifecycle management of locations, assets, organizations and people. In addition, the new release will include the next generation of Call Center - the Contact Center -- designed to give you the utmost performance and efficiency in processing and routing requests of any type; as well as integral Gantt chart functionality and enhanced calendaring for scheduling of project resources.

Additional new features include a consolidated Approval Engine, improvements in consistency across the product line and a number of new capabilities in the CAD Integrator environment. Coupled with enhancements to our existing applications, including Portfolio Management, Request Management, Maintenance Management, Service Management, Purchasing and Contract Management, and Inventory Management, this constitutes our largest and most comprehensive product release ever.

Following are additional details about our expanded product offerings.

TRIRIGA Reserve
Thanks to your input and suggestions, TRIRIGA Reserve takes its place as the industry's most robust and comprehensive reservation management application. You can choose to install Reserve as a stand-alone application or optionally integrate it with your corporate Microsoft Exchange/Outlook environments. Out-of-the-box, Reserve includes reservation forms for locations and assets. This means, you can reserve meeting space, workspace, equipment, and vehicles. You can make multi-room, recurring and "on-behalf-of" reservations. Reservations can be entered by self-service users or by central administrators. Reserve can be optionally used with TRIRIGA's other applications including:

  • Service Management - Tasks, such as room layout setup and breakdown or equipment delivery and pickup, can be created using Service Management.
  • Inventory Management - This module lets you manage shared resources, such as LCD Projectors.
  • Purchasing Management - Use this module to manage vendors such as Equipment and Food Service providers.

Reserve also incorporates TRIRIGA's new platform calendaring and scheduling capabilities, which allow calendaring for any Business Object in the system. Other features include:

  • Check In and Check Out - You can make check in and check out options available to users for certain locations.
  • Welcome Packages - Via email, you can send meeting attendees or hoteling users information about local hotels, restaurants and directions along with the meeting details and confirmation.
  • Hoteling with Entitlement - You can create entitlement rules that allow users to reserve only the offices or workstations that they are "entitled" to request.
  • Calendar Integration - Reserve has complete calendar integration with daily and monthly views of your reservations, resources and locations. View the calendars of other people based on on-behalf-of permissions.
  • Availability - Utilizing the Gantt charts now available in the TRIRIGA platform, you can graphically view the availability of resources including people, assets and locations.
  • Resources - Reserve supports "reservable", "requestable" and private resources.
  • Visitor Management - Reception and Security personnel are automatically notified of visitors attending meetings. This information can be used to greet visitors; complete an on-line visitor form including time-in and time-out, badge number, location visited, and person visited; and direct them to the appropriate meeting location. Visitor Management can be used to maintain a history of all visitors to your facilities.
  • Favorite Locations - We have added a "favorites" section to Reserve that lets you store and search for your favorite locations.

Condition Assessment
TRIRIGA has added another dimension to its lifecycle management. The new Condition Assessment module provides an effective tool for performing Facility (property, land and building), Building System and Asset condition management. It uses a lifecycle approach to ensure building systems and assets are maintained in a practical manner. After you establish goals and criteria, and set up standards and templates, users can record facility and system condition and deficiencies through inspections (one time or scheduled) and through ongoing field observation. Once a baseline has been established, inspection data is used to identify, quantify and prioritize deferred maintenance and component renewal in a facility. With this information, you can develop and report the results of alternative levels of short and long term funding. And, you can develop a detailed deferred maintenance reduction plan based on an adopted level of funding. Other notable features include:

  • Building System Classifications - Incorporate the Uniformat standards, other industry standards or define your own.
  • ASTM Standards - For those of you who are interested in the ASTM Standards on Whole Building Functionality and Serviceability, we have included the ability to use the Assessment functionality with the serviceability scales of this standard.
  • System Inspection Standards - TRIRIGA gives you the ability to define system inspection standards and procedures for safety and consistency.
  • System Templates - For consistency across the portfolio, you can define and apply system templates.
  • Document Manager - The TRIRIGA Document Manager lets you incorporate digital photos or other documents with your facility and asset data.
  • FCI Calculations - TRIRIGA now has built-in, industry standard Facility Condition Index (FCI) calculations.
  • Historical Facility and Asset Data - Maintain the history of all condition audits and all deficiencies throughout the life of your facility and assets.
  • Integration with other Modules - The Condition Assessment module integrates with other modules including Project Management, Service Management, Contract Management, Purchasing, Service and Resource Assignment, Inventory Management, Finance Management, and Portfolio Management. It also supports workflow processes.
  • Deficiencies - Deficiencies can be queued for remediation via corrective, preventive or planned maintenance tasks through Projects and/or Tasks.
  • Planned Maintenance - Corrective, preventive and planned maintenance tasks can be managed through a common, comprehensive view that gives you a holistic view of pending work.

Contact Center
Our new Contact Center application completes TRIRIGA's Service Management functionality. The Contact Center (TRIRIGA's next generation Call Center) provides a powerful but simple user interface for Contact Center personnel to manage requests coming from a call or an email. This is integrated with Self-Service Requests. The Contact Center leverages new Platform capabilities for quick access to the relevant information. "Hot keys" speed up navigation through screens by giving you direct keyboard input. Contact Center features include:

  • Caller Information - Contact Center allows you to quickly identify the caller or contact and get immediate access to all pertinent information about that contact.
  • Report Problem - You can easily identify and record the reported problem, the problem's location and its assets.
  • Create Requests -You can create any type of request from within Contact Center. Types of requests you can make include Asset or Location-based requests, Move/Change requests, Reservations, Request for Information, or other user-defined requests
  • Service Level Agreement - Identify the Service Level Agreement criteria based on the contact, the contact's organization and the problems location.
  • Action Queues and Notifications - The Action Queues and Notifications functionality gives you the ability to escalate a contact issue and schedule follow-up actions.
  • Duplicate Requests - We have added Duplicate Request trapping to the Contact Center that allows you to "trap" duplicate requests and prevent duplicated efforts and data entry.
  • Knowledge Base - We included a knowledge base that creates Solution Records, based on a problem type, and captures the conversation with the caller for historical purposes and future use.
  • Process Improvement - You can now track call metrics for process improvement and future planning.

Calendaring and Scheduling
The enhanced calendaring and scheduling functionality found in the new Platform is at the heart of much of the new application functionality. In this release, calendaring and scheduling has been significantly enhanced and now provides many new features, such as:

  • Gantt Chart Views - The Gantt Chart views added in this release let you display and manipulate tasks. This allows you to create and edit bi-directionally, either graphically via the Gantt chart or by modifying the Task records directly.
  • Individual Resource Calendars - We have added calendars that let you identify a resource's availability by days and hours. We also let you identify availability exceptions such as holidays and other commitments.
  • Availability Query Filter - TRIRIGA created a new filter that lets you query for resources based on their availability and then schedule or reserve them.
  • Templates - We provide templates that help you eliminate complex logic and display options for a simpler, more efficient user experience.
  • Labor and Non-Labor Resources - You can assign labor and non-labor resources to a Task with regards to Resource Calendar and Availability functionality, such as the free or busy status of a resource.

The TRIRIGA CAD Integrator
We have updated the CAD Integrator to include many customer requested enhancements, such as:

  • Optional space numbering by grid when you Upload Locations
  • Server-side defaults for settings such as Label and Query templates
  • Support for Overlay boundaries for Floor Level Charge backs and Building Systems
  • Enhanced discrepancy management after synchronization to the database

Enhancements to the TRIRIGA CAD Integrator in this release do not include integration with MicroStation.

Approval and Notification Engines
We are excited about the addition of a new Review and Approval engine. Every primary Business Object is now configured to take advantage of this new functionality. By setting up user-defined Approval Requirements, the application knows where to route a record for review and who to send it to.

Features of the Approval Engine includes:

  • Approval Templates - System Administrators can create Approval Templates that define who needs to review a record. You can define the reviewer based on role (Project or Contract Administrator), functionality (such as Supervisor) or by specifying a person.
  • Approval Requirements - You can create Approval Requirements per Business Object. For example, the requirements for Issuing a Purchase Order may be different than Activating a Building. Approval Requirements lets you distinguish between the two.
  • Ad-Hoc Reviewers - In addition to required reviewers, you can also add ad-hoc reviewers to any record, with permission.
  • Requirements and Reviewers - The System resolves Requirements and Reviewers at runtime based on the Business Object and the action being performed. Resolution includes Approval $ Limits by person and functional chain. While reviewing a record, the user can approve, return, reassign, request clarification, submit a comment, or escalate the review.

Features of the Notification Engine includes:

  • Notification Requirements - System Administrators can create Notification Requirements for a status change per Business Object, Action and Role, for example, Issuing a Bid Request or Revising a Lease.
  • Subscribe and Unsubscribe - You can choose to Subscribe and Unsubscribe to Notifications by Business Object or Action through your My Profile record, ensuring that you get the exact information you need.

Consistency Across The Product Line - Leveraging New Platform Capabilities
We have created a number of product enhancements by taking advantage of many of the new features in the TRIRIGA Platform. This provides you with a consistent user interface throughout our applications. These enhancements include:

  • Consistent Terminology and Layout - We updated the application screens to use consistent terminology and layout so that the interface is uniform throughout the product.
  • Section Actions - We have added "section actions" to move the steps the user performs closer in proximity to the data the action is performed against.
  • User Messages - The applications now include a User Message section to display error messages or other information for the user. You can hide and show these user messages as necessary. This functionality is leveraged throughout the applications to ensure data integrity.
  • Validation Layer - We have added a validation layer that may be customized for your installation, to make sure your business rules are utilized and checked before your data is updated in the database. This ensures the integrity of the data and of the business process.
  • Unit of Measure - We have incorporated the IBSm2's new Unit of Measure fields on screens where you enter multiple numbers, such as area measurements or transaction terms.

As you can see, our new release takes Enterprise Workplace Management to a new level. We look forward to hearing about your successes in using these applications to save money and increase efficiency in your workplace.
